How do small property management teams handle data entry from tenant documents?

I’m trying to understand how smaller property management teams handle document-heavy workflows.

Tenant information often comes in as scanned IDs, passports, and application PDFs, but that data still needs to end up structured inside a CRM or management system.

OCR tools exist, but from what I’ve seen there’s still a lot of manual cleanup or re-entry involved, especially with scans or inconsistent formats.

For those who’ve dealt with this:

Is this mostly manual in practice?

Are there tools or workflows that actually work reliably?

Or is this just accepted overhead?

Genuinely curious how people approach this.

each organization handles their documents differently from everyone else. yes, interacting with humans is manual until we get rid of phone, fax, and email, and replace it with universal endpoint.
